Enterprise Portal Solution
Overview
Our Client wanted to deploy an INTRANET solutions solution at the enterprise level.
The main aim for them was to create a collaborative platform which would enable
various teams, individual and division to collaborate and share information in a
more effective way, thereby increasing productivity. COMM-IT was awarded the contract
for complete INTRANET deployment which included migration of existing basic INTRANET
portal, migration of existing application over corporate portal, development of
various internal application like Travel, HR, Surveys and etc. on top of the portal.
Our Solution
Our solution enabled our client to bring together all their application, services
and information would enable the complete individuals, teams and divisions to collaborate
between each other.
The collaboration solution addresses four distinct business needs :
- Personal storage.
- Team collaboration.
- Group and division portals.
- Enterprise services.

The solution strategy at our client was to implement division based sites e.g. IT
sites, HR sites and etc
Features
The key benefits of Portal & Collaboration offering are as below:
Collaboration Component
- Personal Storage: With personal sites, called “My Site†in the
Portal user interface, users have a clear location for storing content where they
can control who has access to it. This personal site has a private storage area
for personal content and work in progress, as well as a public storage area for
easily sharing the projects and documents they are working on
- Team Collaboration: the Portal integrates with the Microsoft Office
2003 Editions providing the users with a single platform for content creation and
collaboration. Saving from Microsoft Word, Microsoft Excel, and Microsoft PowerPoint®
to a personal site or team site no longer requires user to remember or look for
the correct path.
- Group and Division Portals: Out-of-the-box portals provides a single
point for browser-access to linked team sites and enable users to search linked
sites on the portal independently of information available across the enterprise.
- Enterprise Services: The advantages of a single enterprise collaboration
platform includes:
- Leveraging available knowledge for business decisions across the company by making
relevant information easier to find with enterprise and portal search capabilities.
- Allowing information workers to focus on business issues while reducing IT costs
for common site services.

- Knowledge Management: complete knowledge management portal was
implemented at Our Client where in various knowledge repositories were created which
houses pool of knowledge content to be shared with relevant members in Pepsi. For
e.g. any user experience in troubleshooting complex situation in an IT implementation,
Quotes, Pepsi's Manuals and etc. These would be sorted as notes thread and as office/PDF
files.
- Document Management: a complete document management system was
implemented where in document related various topics, division, teams and etc were
stored in various document libraries and search and indexing was implemented for
faster search and retrievals.
- Full-Text Search: implementation of Full-Text Search on the Document
Management and Knowledge libraries.
- Authentication: the authentication was implemented using Microsoft
Active Directory server.
- Discussion Boards: chat and discussion board where in various team
members can chats and have discussion which would be logged as thread.
- Mail Alerts: various alerts and notification depending upon various
permutations and combinations were implemented.
- Rewards and Recognition: every portal site is having a section
which hosts the various rewards and recognition to the employees. This has various
sections of rewards and has photographs along with a small write ups from the senior
recognition the efforts the employee being rewarded.
- Enterprise Application: various enterprise applications were implemented on top
of portal and role based access was provided. The login and authentication was implemented
using Microsoft LDAP. The various application implemented are:

Data Capture of Surveys: Our Client Conducts lots of Survey to analyze the various
processes internally and accordingly re-align its business processes and obtain
optimum efficiency. These surveys were conducted manually on paper. This was automated
and online surveys were implemented.
- IT Asset Management: this involved automating the entire IT asset
allocation to employees like Desktop, CD's, User Names and Password, Internet Access
and etc. This was a workflow based solutions were in the Task gets routed to concerned
individuals.
- Utility Templates: small application like Gate Pass management,
NT User Management and etc were implemented at under blank utility templates.
- Publish Online Training Calendars: the various training being conducted
were published online where in user can apply to them online.
- Self Audit Check List: Our Client has various internal IT audit
in place which asses and takes preventive measure for IT threats. Under this users
have to fill in a Form which has around 60 Question which is being currently done
manually. This was completely automated where in employees can fill up the form
online.

- Application in the Pipeline: there are various other applications
which are in the Pipeline and would be hosted on top of the Portal. Some of them
are in the conceptual phase while other in the design phase. These are:
- Training Management System: a complete training management system which will have
various modules like publishing training calendars, conduct of training, assignment,
evaluations and grading and etc.
- Travel Management: complete travel management system which allow user to apply for
travel, file for travel reimbursements, and etc.
- Employee Resume Bank Management.
- Other HR Related application.
